The ideal candidate will have:
- Strong understanding of charter school operations or prior experienced in this field
- Experience in project management with a lens on forward thinking
- Experience in planning, prepping and overseeing school-based assessment and NYS exams.
- Exceptional ability to demonstrate our operating values in every aspect of their work
- Exceptional ability to develop and maintain productive and collaborative relationships
- Physical Requirements: Must be able to push, pull and lift up to 20 pounds.
- Bilingual (Spanish/English) preferred
Compensation & Hourly Rate: $25 - $28
Launch compensation is highly competitive and commensurate with experience, along with a full benefits package. Launch will support individuals with obtaining certifications and resources upon hire if applicable. Administration Assistant Responsibilities:
The below job description is meant to describe the general nature and level of work being performed; it is not intended to be construed as an exhaustive list of all responsibilities, duties and skills required for the position. (30 min lunch, non-exempt employee, individual is eligible for overtime)
Recruitment
- Support student recruitment by prepping for open houses and other recruitment events.
- Support enrollment team by following up with families, checking documents as needed.
- Support the enrollment team during the months of March, April and May with lottery preparations, new parent phone calls, event support, enrollment documentation.
- Attend select events to support with English/Spanish translation.
Main Office Management and General Support
- Work with the Operations team to ensure that the main office is a welcoming work environment
- Manage the entirety of the main office and its operation which include the operational systems, cleanliness, and people within the space.
- Ensuring essential forms are well stocked and easy to find, including but not limited to: late passes, dismissal letters, medical forms, withdrawal forms, etc.
- Support with all student inquiries such as MetroCard’s, enrollment letters, school forms and nursing.
- General support in answering phones, greeting students, parents and guests as needed
- General support with processing new admissions and communicating with new families as needed
- Support routine mailings as necessary: report cards, newsletters, etc.
- Ensure that all late, early dismissal and nurse passes are stocked
- Communicate all late arrivals, early dismissals, nurse referrals and late arrival breakfast students to staff via SLACK
- Ensure all classrooms have appropriate passes and signage
- Support all Operations projects related to printing, sorting and distribution
- Oversee the beautification and management of hallway upgrades (PVC posters, welcome signs, etc.)
Front Desk Management
- Serve as the point of contact for Launch students, families, and staff.
- Direct communication to the appropriate staff points and document any information as needed.
- Support students with late arrival, nursing needs, early dismissal, and other front desk supports.
- Support the collection of any Launch/DOE forms, student documents and medical notes.
- Oversee the regular communication to families related to school events, important dates, and whole school notices.
- Support operations team w/ conducting outreach for documents, appointments, and other operational projects.
- Design all school year flyers and posters in relation to school events, testing, and holidays.
Student Information Systems
- Routinely ensuring our contact information for families is updated
- Upload all withdrawals and new enrollments form to ALMA
- Support the Operations team in providing routine reports (RMEL, ELL, etc.)
- Responsible for updating ALMA attendance, contact information and student information.
- Ensure that all student facing documents and forms such as immunizations, BC’s, POR, physicals, blue cards, and other forms are distributed, collected, tracked and stored.
Mail, Packages, Deliveries and last Minute Purchasing
- Conduct daily to tri-weekly mail and package check in the auditorium and 243 mailroom
- Ensure that all received deliveries are marked as such in the purchase order management system and delivered according to instructions (or delegate to members of Operations team)
- Lead all school mailings and distributions projects
- Ensure that all missing packages are escalated to the Administration Manager and the appropriate recipient
- Support with store runs or last minute purchasing
School Events Coordination
- Responsible for the coordination of set-up and breakdown of all events
- Supporting with operational needs for school-wide events including but not limited to pre-service, parent teacher conferences, new family night, back to school night, pack up plan, staff potlucks
- Support logistics for school-wide celebrations - both staff and students
- Oversee picture day by creating schedule, sending reminders to families and staff
School Operations Systems
- Manage the maintenance of SchoolMessenger, ALMA, and other information platforms.
- Ensure that all student, staff, and family groups are organized and maintained.
- Support RSOM in maintaining external student facing and informational docs/sheets.
Miscellaneous
- Perform additional tasks throughout the year depending on staffing, large projects, and pivots in strategic plan. Lead all whole school training/onboarding sessions related to operations projects.
- Support the training and coaching of junior operation staff in the building.
- Collaborate with department subjects and department teams to support any operational projects.
- Support where needed to ensure optimal operational success in the building.
- Support the onboarding process by ensuring that all staff have their ID’s, keys, and other start of year items.
- Conduct ALMA Training and whole school walkthroughs with new staff.
- Other duties as assigned (based on the needs of the school at specific times during the year)
- Support the teams responsible for supervising common spaces to create a strong and positive culture outside of the classroom, including calm and joyful lunch, recess, and dismissal environments (create the vision and support its implementation - limited lunch/recess supervision time)
